Committee & Reps
Committee members and regional representatives are the face of the Club and the first point-of-call in providing support to members and campers.
On this page you will find information and resources to help you carry out your role.
Have a look also at the pages on Organising events and Promoting the Club.
For a description of the Club and its activities go to the About Us page and APCNZ structure.
Information for all Club members can be found on our Members Area.
APCNZ's Structure & Roles
The All Points Camping Club of NZ is an incorporated society with its own constitution.
The Club has a committee, an executive committee and regional representatives. For information about what these roles involve go to the About Us page.
A list of current committee members as well as contact details for regional representatives can be found on the Contact Us page.
All committee and regional rep positions are unpaid roles.
Reimbursement of Expenses
Expenses incurred as part of committee or regional rep roles will be reimbursed as detailed in Club guidance documents or agreed in advance by the executive or committee.
If you have had approval for your mileage for a specific purpose to be reimbursed, then fill in the mileage claim form and send it to treasurer@allpointscampingnz.org.
Generally payments are made around the 20th of each month. If you need to be reimbursed more quickly than this, then email president@allpointscampingnz.org.
Committee & Regional Rep Meetings
The committee usually meets on the second Monday of the month via Zoom. Committee members are expected to attend committee meetings and to advise the Secretary if they are unable to attend.
The agenda, meeting papers and Zoom link for committee meetings are emailed out in advance by the Club Secretary (secretary@allpointscampingnz.org). All APCNZ members are welcome to attend committee meetings. Committee meeting papers are sent to committee members and regional representatives.
The executive usually meets on the first Monday of the month via Zoom (ie, a week before the Committee meeting).
Meetings of regional representatives are held approximately every two months via Zoom and chaired by the Vice-President.
Hello Club Access for Committee & Reps
Hello Club is APCNZ’s membership database and members’ portal. It also includes contact details for the Executive Committee, key documents, a list of our member discounts and a calendar of events. All members have access to these pages on the Hello Club site. They can also view and edit their own profile. You can access All Point’s Hello Club pages at https://apcnz.helloclub.com/login.
Please don’t update members’ details on Hello Club. If a member’s contact details change, then email the new details to president@allpointscampingnz.org
As a committee member or regional representative you have access to additional features, including being able to look up the contact details for Club members and send out emails from Hello Club. You can use Hello Club to look up the contact details of other committee members and regional representatives.
It is very important that you only use the Hello Club membership information for APCNZ purposes and do not share it.
The Hello Club Guide provides step-by-step guidance on how to look up members in your region and send out Club emails using Hello Club.
The Membership Renewal & Payment document provides step-by-step guidance on how to renew your membership on Hello Club and make payment using the account credit.
If you have any questions about using Hello Club, contact the Club President on president@allpointscampingnz.org.
Promoting APCNZ
As a committee member and/or regional rep you will find yourself promoting the Club and supporting members in a variety of situations. Guidance on how you can do this is provided on this page:
Organising Camps & Other Events
Weekend camps are the most common All Points events. Other events include dinners or coffee mornings (where members can get together and meet each other), providing a camping location for local community events and supporting local community activities (such as clean ups).
Events are generally organised for Club members, but most are open to non-members as well. For an event to be an official Club event it must be approved by the Executive. This is done by filling in the online Event listing. However, this form is not required for coffee mornings.
Members, who are not regional representatives or committee members, can be supported to organise events as long as they follow the Club processes and guidance.
Club Monthly Newsletter
All Points produces a monthly newsletter that is emailed out to all members. The newsletter is a great way to share information about what is happening in your region, including photos and news of recent events. Send your contributions for the newsletter to bonnynewsletterapc@gmail.com.
APCNZ's Policies, Procedures & By-laws
All Points Camping tries to keep its rules for members to a minimum, but the practicality of holding Club events has identified some areas where policies or by-laws are needed. For instance, there is a by-law about animals at events. This has been strengthened over time because of incidents with dogs at events. This by-law is now part of a set of expectations at All Points events. In addition, the Club has a process for dealing with misconduct at events (as well as on social media).
The Club’s Operating Manual provides more details about the roles and responsibilities of elected positions within the Club. It also provides details about managing the processes, such as membership and finances, and it lists the Club’s current policies and by-laws.
APCNZ's Contact Points
Official communication between the executive, committee and regional reps is usually via email. When emailing an executive member please use their Club email address rather than their personal one.
Messenger chat groups are used for informal communication. There is a chat group for regional reps, one for committee members and a combined committee and regional rep chat. The executive also has a chat group. Other chat groups are set up from time to time for specific purposes.
The main public faces of the Club are:
Club Phone
The Club phone number is 022 328 0973. This phone is held by the Club President and when they are not available is redirected to the Vice-President.
Club Shop
Club merchandise and resources are held at and distributed from the Club Shop. These include Club brochures, T-shirts and sweatshirts and the range of camping-related products that the Club sells.
APCNZ have three Facebook pages:
All Points Camping NZ Camping Club. Only designated admins can post on this page, but everyone can comment on posts.
All Points Camping Members area. This page is for Club members only. Members need to apply to join this page. Access is controlled by the Club President.
All Points Camping NZ – chat, share. People need to apply to join this page but don’t need to be members of the Club. Access to this page is controlled by the Club President.
These three pages are monitored and moderated by a group of members who have been given admin rights.
Social media is a great way to promote the Club and its activities. This social media guide for Committee members and reps provides guidance on how to promote our Club and its events on social media.
